POSITION TITLE: Dental Operations Director

DEPARTMENT: Administration

SUPERVISOR: Executive Director







POSITION SUMMARY




The Operations Director is primarily responsible for overseeing the duties and functions of the front and back office staff at all Dental sites, and ensures that they are carried out with accuracy, timeliness, and confidentiality. This includes overseeing the input of patient data and reviewing/maintaining the patient appointment system; monitoring the waiting room areas, evaluating patient satisfaction; and ensuring appropriate staffing for all functions at each site. The incumbent will provide support and assistance to back office supervisors, providers and administration to ensure that quality services are provided at each clinic. The incumbent will work directly under the supervision of the Executive Director, with support from our Senior Management Team. Incumbent will ensure compliance with the procedures administered through the Finance Department. The incumbent shall assist in the supervision of all Dental support staff in carrying out the mission of the Health Center.




The position requires an awareness and keen appreciation of American Indian traditions, customs, and socioeconomic needs and the ability at all times to meet and deal effectively in contacts with Indian health organizations which requires tact, courtesy, discretion, resourcefulness and good judgment in handling functions of a sensitive nature.







PRIMARY RESPONSIBILITIES



  • Communicates with Dental providers to maintain and update operational plan and prepares action plans for the Executive Director and Board of Directors for use in short- and long-term planning.
  • Assists in the development of a comprehensive "In-Service Training" program plan for all Dental staff, to include:
  • Daily opening and closing office procedures according to established procedures.
  • Coordination of patient scheduling templates for clinic Providers.
  • Review all applicable policies and procedures with Dental support staff.
  • Ensuring that staff is performing the primary responsibilities according to established policies.
  • Ordering office supplies in compliance with established budget.
  • Knowledge of and compliance with the fiscal policies pertaining to the Department, as administered by the Finance Department.
  • Management of the electronic practice management system for scheduling, canceling, or reappointing as necessary for each site.
  • Coordinates Dental staff schedule to ensure adequate coverage.
  • Communicates staffing irregularities to Senior Management and the Site Supervisor as they occur.
  • Perform staff performance reviews.
  • Must adhere to the Health Center's Corporate Code of Conduct.
  • Maintain confidentiality with patient information at all times; adheres to all HIPAA guidelines/regulations.
  • Adheres to all Health Center policies and procedures.
  • Other duties as assigned.







QUALIFICATIONS



  • BA/BS degree in Health Care, Business Administration, or related health services field or 10 years managerial experience.
  • Excellent word processing, spreadsheet, and computer experience.







MANDATORY REQUIREMENTS



  • Pass an Occupational Health Screening, which includes passing a mandatory drug screening.
  • Possess a valid form of identification as listed on the U.S. Department of Justice I-9 form.
  • Clean DMV driving record and Health CEnter auto insurance driving eligibility (determined by auto insurance carrier).
  • Demonstrates proper use of office equipment.
  • Proficient in problem resolution, detail analysis, and accuracy.
  • Ability to build positive work relationships as part of a professional team.
  • Maintains professional composure and confidence during stressful situations.
  • Promotes a positive and cooperative work environment by communicating problems and workflow issues with supervisors, and handling conflict in an appropriate manner.
  • Maintains an acceptable level of accuracy, thoroughness, and neatness as evidenced by audits.
  • Ability to prioritize tasks and complete assignments in a timely manner.
  • Good oral and written communications, patience and tact. Well organized.
  • Must have experience with a personal computer and assigned software packages (MS Excel, Word, Outlook, E-Fax, etc.)
  • Authorized employment verification (E Verify).

  • Requires excellent customer service skills.
  • Has the ability to mentor and train all staff, both new and seasoned.
